Use the 80/20 Principle to Delegate Smarter, Not Harder
When you’re running a clinical practice, it’s easy to get overwhelmed by the sheer number of tasks on your plate. But not everything you do holds equal value.
That’s where the 80/20 Principle comes in.
Also known as the Pareto Principle, the 80/20 rule suggests that roughly 80% of your results come from just 20% of your efforts. In other words: a small fraction of what you do likely drives the majority of your success. By identifying those high-impact tasks, and distinguishing them from the work that can be delegated, you can free up time, reduce stress, and scale your practice more effectively.
The Five Levels of Skill in a Therapy Practice
As you begin delegating, it’s helpful to view your practice through the lens of five different skill levels. Each level represents a different degree of responsibility, autonomy, and expertise:
- Level 5 – Leading Strategic Work: Vision-setting, long-term planning, partnerships, and high-level leadership decisions.
- Level 4 – Planning Strategic Work: Marketing strategy, business development, service design, and market analysis.
- Level 3 – Managing Operational Activities: Overseeing day-to-day operations, managing staff, budgeting, and maintaining service quality.
- Level 2 – Executing Operational Activities: Providing therapy, developing treatment plans, documenting progress, and collaborating on care.
- Level 1 – Supporting Operational Activities: Handling administrative tasks, appointment logistics, client intake, and tech or facility support.
